Know which record says what

A licensed dairy business, a known trading partner and a verified payee are related ideas. They are not the same check.

Dairy supply chainsReviewed 22 September 2026

Cheese makers keep records of immediate suppliers and ingredients for food traceability. Finance keeps records of who is approved to receive a payment. One file cannot silently stand in for the other.

Product and trading record

Identifies what came from whom, when, and under which batch or lot. It supports product traceability and food-safety action.

Approved payee record

Holds the payment details and internal approval history used by finance. A requested change needs separate verification.

What a licence register can establish

Dairy Food Safety Victoria's public licensee register lists licensed dairy manufacturers, carriers and distributors. It displays business and premises details. It does not list approved bank accounts for your supplier master.

What a bank-side name match can establish

Confirmation of Payee compares the entered account name, BSB and account number with records held by the recipient's bank within a payment flow. It is a distinct bank-side service, not a lookup offered by this publication.

The practical join

Use the trading and traceability records to understand the supplier relationship. Use the finance-controlled supplier master for currently approved payment details. When a new account is claimed, follow the business's known-number call-back and approval procedure before updating that master. See the bank-change field note for a draft-run example.
